Before starting Tuxedo Impressions, Jamara worked in corporate America. There she learned the importance of well planned and thought out processes as she gained experience in operational process improvement. However, she grew tired of putting all her energy into work that wasn’t valued by the company.

Jamara wanted to do more with her skills in designing and implementing operational processes. Tuxedo Impressions was born once Jamara saw there was a gap in the market for small businesses who needed her help with their operations.

Noticing small businesses have fewer resources, Jamara knows owners need to be able to do more with their time. With streamlined and automated processes, Jamara helps her clients streamline work in order to create efficiencies.

Specializing in clients with small businesses from 1-10 employees, Jamara is able to key into the needs of a business by really getting to know a company. It actually gets very personal Jamara admits.

“We’re talking to them, pulling out the pain points by asking them why,” Jamara said. “Once we discover [the solution], from there, we work on getting it done.”

Jamara is confident that better processes will service customers better

Process improvement isn’t just about seeking out efficiencies in a business. Clear and thoughtful processes help companies serve their customer better too.

With well thought out processes, details won’t slip through the cracks. Following a proceedure each time creates consistency in the work. COnsistency in processes that include customer support helps build trust with customers. So good process management helps with customer service and retention. An unorganized process could push customers away.

Business Process Improvement Requires Letting Go of Work

Everyone already has processes for a lot of work they do. However, if it’s not written down or formalized, there can be a lack of consistency. This is especially true when multiple team members are expected to do similar tasks. Bad process management can also cause more work by fixing mistakes.

As a business owner, the only way to grow your business is to let go of certain aspects of work. This way you can concentrate on the important parts that only you can do. When you implement business processes, you have to start thinking about what you’ll need to let go of.

Jamara encourages all of her clients to “think about scalability from the very beginning.”

When designing processes, it’s important to think about what your capacity is for the amount of work you can handle in your business. After that, you need to figure out where you might be able to streamline certain types of work.

The goal in streamlining isn’t necessarily to bring on another employee though. Because of technology, there are a lot of new options to automate a lot of everyday work for the average small business.

“Having an organized system and standard operating procedures in place helps with your volume capacity. It helps with the amount of work you can get done and how it’s delivered,” Jamara said.

Luckily, because technology can help do the work once it’s streamlined, many processes can be automated. This takes the business owner out of the direct work.

There might be a fear to make an investment in technology when money is tight in the early business stages. However, the benefit of implementing automated systems as you grow will allow you to grow quicker. The ability to intake customers and deliver the product will make managing growth opportunities possible.

How to Implement Processes

Jamara encourages businesses to identify the two most important aspects of your business. Some examples are:

  • Sales Processes
  • Customer Service
  • Onboarding and Offboarding clients
  • Hiring processes

After identifying the top two areas to concentrate on, Jamara says its vital to write out the entire process to get it out of your head. “It will make your life so much easier if you write it down,” Jamara says.

“Process management is ongoing,” Jamara says.

So it’s important that you take that into consideration as you create the foundational systems in your company. It’s easier to fix a process that is no longer working then to work backward to build a foundational one.

As the company grows, so will the processes. However, starting with a foundation of systems means you have something to grow with your business.

Technology recommendations for Process Management

There is so many technology tools that businesses can use today to help streamline their processes. “You don’t want to overcomplicate things with technology,” Jamara says.

Instead, she asks owners to think about, “what can we do to help with efficiency?”

The tools Jamara most often implements for her clients usually revolve around

  • Administrative Procedures
  • Customer Service Management (CRM)
  • Inventory Management
  • Organizational Communication

And the top tools Jamara uses for her clients and Tuexdo Impressions?

  • Hubspot- This is a client management software that has lots of valuable features for small businesses owners.
  • Zappier- This program helps connect different software programs to each other. It actually can automate certain proceses between software.
  • G-Suite- This is the Google Suite of products including Gmail, Docs, and Drive. There is a lot of versatility from this software and it’s all free for the business owner.
